Managing funds assigned directly to a client in Clio
This overview will walk you through how to manage funds assigned directly to a client in Clio. This scenario happens in Clio where you have a contact only and then a Matter associated with that Contact. When trying to perform a reconciliation you may see an amount show up in Latest Payments but does not show up in the Checks and Payment Section on your Perform Reconciliation Page. This will keep you from reaching a zero difference in your reconciliation. The steps below will walk you through the process of fixing this in TrustBooks.
In Clio, when you have trust funds recorded against the contact only and then pay an invoice at the Matter level, Clio will first record a transfer between the contact only to the Matter and then pay the invoice at the Matter level. In TrustBooks, you have the ability to import these same transactions to mirror the movement that’s happening in Clio.
Step 1: On the Dashboard Page go to Matters and then Import Clio Matters. You will want to import the Matter that was associated with payment of this invoice.
Step 2: On the Dashboard Page select Deposits and then Import Clio Deposits. You should see that there's a deposit for the amount and the Matter is now associated with it. You will can now import this deposit.
Step 3: On the Dashboard Page select Payments and then Import Clio Payments. You will see the payment for this amount and Matter that is now associated with it. You can then import the payment.
Note: The deposit that you import in Step #2 above and the payment that’s already been imported will not show up on your Perform Reconciliation page. These are considered intra bank transfers – just moving money from one contact only account to a Matter account but no money actually left the bank.
The payment that you import in Step #3 will now show up on your Perform Reconciliation page and you can check this off to complete your reconciliation.
